Document digitization in real estate is no longer the future, but the standard. In this article, we show how CPI Property Group, owner of Warsaw Financial Center, migrated over 300 binders of documents to the BinderLess digital archive. Learn how the digitization process unfolded, what technologies (OCR, AI, NLP) supported it, and what benefits – from time savings to increased investment value – the implementation of the CDE platform brought. This is a practical case study for companies looking to organize their documentation and streamline real estate management.
Why is construction documentation digitization becoming the standard?
Problems with Traditional Document Archives
Although paper archives were the foundation of construction documentation management for decades, their limitations are becoming increasingly apparent today. Property owners and managers often struggle with binders filled with documents that occupy tens of square meters. This form of information storage is not only impractical but also prone to errors and data loss.
Accessing a specific document requires searching through physical folders – which means wasted time and increased risk of errors. There is also a lack of ability to quickly filter, compare, or share files with third parties. In the context of commercial buildings, where operational efficiency and quick response to malfunctions or tenant needs are crucial, this is a serious limitation.
Additionally, a paper archive offers none of the security features known from digital solutions – such as backups, access control, or change history. In practice, this means that if someone borrows a document from a physical archive and forgets to return it, we lose access to it – with no guarantee of recovery. In a traditional system, we have no control over this, and the lack of a digital copy can prove costly and time-consuming.
Document digitization is thus becoming not just a matter of convenience, but a necessity in modern real estate management.
The Role of Document Digitization in Real Estate Management
In the face of traditional archive limitations, more and more companies in the real estate sector are turning to document digitization as a tool to improve management efficiency. Transforming paper documents into digital ones is not just a way to reclaim physical space – it is primarily an investment in accessibility, security, and order.
Thanks to digitization, technical data, acceptance protocols, contractor agreements, and installation diagrams become easily accessible from a single system, regardless of the user's location. Managers can respond faster to requests, plan technical inspections, and more efficiently address tenant needs.
Moreover, document digitization enables the use of tools such as contextual search, automatic categorization, and metadata assignment, which speeds up work and reduces the risk of errors. In the long term, a digital archive not only supports daily operational activities but also increases property value – demonstrating that it is managed professionally and with the use of modern technologies.
What are CDE platforms and how do they support document digitization?
For the document digitization process to be truly effective, merely scanning documents is not enough – an appropriate environment for their storage, management, and sharing is also needed. Such a solution is provided by CDE (Common Data Environment) platforms, which serve as a digital command center for all construction documentation.
These platforms support teams in organizing data, automate document workflows, and enable real-time collaboration. If you want to learn more, see our article:

Document Digitization at Warsaw Financial Center: How Did the Collaboration with BinderLess Begin?
Partnership within Startup Booster
The Warsaw Financial Center document digitization project was born from the partnership between BinderLess and CPI Property Group within the Startup Booster program, organized by Huge Thing and financed by European Funds for Modern Economy. The initiative aims to connect innovative startups with large companies seeking real solutions for their operational challenges.
For BinderLess, participation in the program was an opportunity to test its technology in a demanding environment, and for CPI – a way to introduce a modern approach to documentation management. The collaboration began with an analysis of existing resources, setting goals, and preparing a digitization plan that could be implemented on the scale of a large office building.
Why BinderLess?
BinderLess is a documentation management platform that allows companies to transition from paper binders to organized, digital archives. It combines digitization, classification, and automatic document organization functions in one place. Thanks to OCR and AI technology, users quickly find the information they need, without the necessity of manual file description. For CPI Property Group, this meant real time savings and greater control over documentation throughout the building's lifecycle.
Warsaw Financial Center – Context and Project Scale
Warsaw Financial Center is one of the most recognizable skyscrapers in Warsaw, commissioned in 1997. As a facility with a long operational history, it accumulated a vast archive of documentation – from executive designs to acceptance protocols and service documents. It is estimated to have occupied as much as 60 m² of office space and was contained in over 300 binders. CPI Property Group, as the building owner, decided to digitize all documentation, migrating it to the BinderLess platform. This gave them quick and secure access to data essential for property management.
Goals of the Documentation Digitization Project
Scope and Figures
The project, jointly implemented by CPI Property Group and BinderLess, covered the comprehensive digitization of documentation accumulated over 25 years of Warsaw Financial Center's operation. The scope of activities included not only scanning but also organizing, classifying, and digitally archiving data.
-
✅ Over 300 binders migrated to digital version
-
📄 59,000 scanned pages of A4–A3 documentation
-
📐 3,300 technical drawings in A2 and larger formats
All documents were embedded in the BinderLess platform, which enables easy searching, classification, and ongoing management. As a result, documentation became instantly available online – without the need to search physical archives or wait for a required folder to be found.
Technologies and Automation (OCR, AI, NLP)
At the heart of the Warsaw Financial Center documentation digitization project are modern technologies that enable not only the rapid conversion of paper documents to digital format but also their intelligent processing. BinderLess utilized a combination of OCR (Optical Character Recognition), AI (Artificial Intelligence), and NLP (Natural Language Processing).
Thanks to OCR, it was possible to read texts from scanned pages – even less legible ones – and convert them into editable and searchable files. Subsequently, AI and NLP algorithms took over the classification and organization of data. Documents were automatically recognized by type, content, and context, which significantly accelerated their categorization and archiving process.
The result is a digital archive that not only mirrors the structure of the paper collection but actually improves it – allowing users to find specific information, contractor documents, or technical diagrams in seconds.
How Does Document Digitization Affect Investment Value?
A digital archive is no longer just a convenience; it is a real factor influencing property value. Well-digitized and organized technical documentation is a strong asset when selling or refinancing a building – it demonstrates transparency, attention to detail, and readiness for further modernization.
Increasingly, investors and funds also evaluate properties based on their digital maturity. Buildings with access to complete, organized digital documentation are perceived as more modern, secure, and easier to manage, which naturally translates into their market value.
What Was Done? Step-by-Step Process
The documentation digitization process for Warsaw Financial Center proceeded in several stages, each aimed at organizing, securing, and making data available in a modern format. Here's how the process unfolded:
Scanning and Organizing 300+ Binders
The first key stage of the project was scanning and organizing the documentation. The BinderLess team began by digitizing paper documents that occupied over 60 m² of archive space. Over 3,300 technical drawings in A2+ format and 4,015 A4-A3 documents were scanned, totaling over 59,000 pages. For many of these files, it was the first digital copy in the building's history.
This process required precision and systematicity to maintain data completeness and accuracy. Every page, from technical drawings to contracts and protocols, was meticulously scanned in high resolution. Subsequently, the documents were properly sorted and prepared for further digital classification, which allowed for the creation of an organized, easily accessible database ready for migration to the BinderLess digital platform.
Data Classification and Online Archiving
After scanning the documents, each file underwent detailed classification. Metatags were assigned, allowing for the extraction and grouping of documents according to key criteria such as industry, location, section, investment stage, or other relevant parameters. This made it possible to quickly and precisely search for needed information within the vast data set.
The next step was to create a clear category tree, which was developed in accordance with CPI Property Group's requirements and the technical documentation structure of Warsaw Financial Center. Together, we established the file structure and organization method to meet the specific documentation management needs of the skyscraper.
After organizing and assigning metatags, the digital files were uploaded to the BinderLess platform. Such digital organization of documents not only facilitates quick access to needed information but also ensures security and full control over file versions. Online archiving allows for convenient documentation management from any location at any time, significantly streamlining the work of property management teams.
